Private Experiences – Terms & Booking Information

1. Experience

• A privately curated hourly based experience in Japan with a dedicated guide in a luxury vehicle.

• Each experience is fully private and thoughtfully tailored to your interests, preferred pace, and travel style. Guests enjoy the flexibility to adjust the day organically, allowing for a more relaxed and personal exploration of Kyoto.

• Complimentary pickup and drop-off are included within Kyoto city.

2. Inclusions

Your experience includes:

• Dedicated English or Arabic-speaking private guide

• Luxury private vehicle

• Hotel pickup and drop-off within Kyoto city

• Bespoke itinerary planning prior to the experience

• Flexible pacing and reasonable same-day adjustments where possible

3. Exclusions

Unless otherwise specified, the following are not included:

   • Admission fees for temples, gardens, museums, exhibitions, and attractions for the guests are their dedicated guide

   • Personal purchases and incidental expenses

   • Optional cultural experiences or special reservations, including tea ceremonies, private dining, geisha entertainment, or exclusive access arrangements

   • Transportation or services extending beyond Kyoto city limits unless arranged in advance

   • any other expense that is not included in the inclusions above 

4. Reservations & Payment

   • Advance reservation is required.

   • Bookings are confirmed upon receipt of full payment.

   • Availability is subject to confirmation at the time of booking.

   • Requests for extended service hours, additional destinations, or significant itinerary modifications may incur supplementary charges.

5. Cancellation Policy

   • Cancellations made more than 24 hours prior to the scheduled start time may be cancelled without charge.

   • Cancellations within 24 hours of the experience, late arrivals exceeding 30 minutes, or no-shows are non-refundable.

   • Where applicable, refunds are processed via the original payment method and may require additional processing time depending on the financial institution.

6. Timing & Itinerary Flexibility

   • The experience duration begins at the agreed pickup time.

   • Kyoto’s seasonal traffic conditions, cultural events, weather, and crowd levels may occasionally affect travel times and site access. While every effort is made to fulfill the planned itinerary, adjustments may occasionally be necessary to preserve the overall quality and comfort of the experience.

7. Vehicle Capacity

   • Pricing is based on one luxury vehicle accommodating up to 5 guests.

   • Groups exceeding this capacity may require a larger vehicle or additional arrangements, subject to availability and revised pricing.

   • Luggage capacity may vary depending on group size and vehicle type.

8. Guest Conduct

   • Guests are respectfully asked to conduct themselves appropriately toward guides, drivers, establishments, and local communities throughout the experience.

   • For the comfort and safety of all participants, the experience may be terminated without refund in cases involving unsafe, unlawful, or disruptive behavior.

9. Weather & Unforeseen Circumstances

   • Experiences operate in most weather conditions.

   • In the event of severe weather, natural disasters, government restrictions, transportation disruptions, or other circumstances beyond reasonable control, portions of the itinerary may be adjusted, postponed, or cancelled where necessary.

10. Limitation of Liability

    • To the fullest extent permitted under applicable law, liability is limited to the total amount paid for the experience. The provider shall not be liable for indirect, incidental, consequential, or special damages, including missed connections, schedule disruptions, or changes resulting from traffic, weather, closures, strikes, or force majeure events.

    • While every effort is made to provide a seamless and carefully managed experience, the provider cannot accept responsibility for delays, closures, accidents, loss of personal belongings, or additional expenses arising from circumstances beyond reasonable control.

    • Guests participate at their own discretion and are responsible for ensuring they are physically able to take part in the planned activities.

11. Health & Medical Responsibility

    • Guests are responsible for assessing their own physical condition and suitability for participation. Any medical conditions, mobility limitations, allergies, or dietary restrictions should be disclosed in advance.

    • The provider assumes no responsibility for injuries, illnesses, allergic reactions, or medical incidents occurring during the experience except where caused by proven gross negligence or willful misconduct.

13. Guests are solely responsible for their personal belongings. The provider is not responsible for lost, stolen, or damaged items left in vehicles or venues.
